PERSONAL ASSISTANT TO UHNW FAMILY IN NYC – LOCALS PREFERRED

 

Are you a highly organized and proactive individual with exceptional multitasking skills? We are seeking a dedicated Personal/Executive Assistant to support an Ultra High Net Worth (UHNW) family; the family are in the heart of New York City (CPS). This is a unique opportunity to play a crucial role in managing the daily Personal/Executive Assistant calendars, errands and day-to-day needs of a dynamic and influential individual.

Calendar Management

·       Coordinate and manage the MRS schedule, encompassing personal and business appointments, meetings, and travel arrangements

·       Proactively anticipate scheduling conflicts and implement effective solutions

·       Handle school schedule planning and personal form filling for the family

·       Schedule and organize consistent personal appointments, including hair, nail, medical, and dental appointments

 

Communication

·       Serve as the primary point of contact for Jenna, screening and prioritizing incoming emails

·       Draft and edit correspondence, emails, and other documents on behalf of the executive

·       Act as a liaison between the family and external partners on personal matters

 

Travel Coordination

·       Arrange and coordinate domestic and international travel, including flights, accommodations, and transportation

·       Prepare detailed travel itineraries aligned with the family’s calendars

 

Meeting Support

·       Prepare meeting agendas, attend meetings, and take detailed minutes as needed

·       Coordinate logistics for meetings, conferences, and events

 

Task Management

·       Manage and prioritize tasks using Trello, ensuring deadlines are met and goals are achieved

·       Update Trello with timeline information to keep Jenna informed of each task’s status

·       Conduct research and gather information to facilitate decision-making processes

 

Office Organization

·       Maintain an organized filing system for both digital and physical documents

·       Ensure confidentiality and security of sensitive information

·       Handle office and kitchen supplies procurement and maintain consistent office-housekeeping schedules

·       Update contacts and passwords database, monitoring important dates and occasions

 

Expense Management

·       Track and reconcile expenses, prepare expense reports, and submit for approval

·       Manage bill processing for family-related matters, including tutors, doctors, school activities, and camps

 

Personal Errands

·       Assist with personal tasks and errands, including shopping, reservations, and other personal arrangements

·       Handle prescriptions and communications with doctors and pharmacies

 

Problem Solving

·       Address and resolve issues efficiently, demonstrating a high level of problem-solving skills

·       Collaborate with team members from various organizations to seamlessly coordinate for MRS and the family

 

 

Contract Length:  Full-Time

 

Salary: $90-$110k per year

 

Benefits: Full benefits, including co-pay for employee and spouse, 401(k) guarantee 6% of annual salary, life insurance and other benefits

 

Must pass full background and reference check

Must be able to walk up/down stairs and carry items during errands (boxes, etc.)
