PERSONAL ASSISTANT – AUSTIN, TX (EXTENSIVE TRAVEL)

Our client is seeking an experienced and highly capable Personal Assistant to provide dedicated, long-term support to a high-profile principal based in Austin, Texas. This is an opportunity for a seasoned career assistant who genuinely enjoys the work, takes pride in making someone else’s life easier, and is looking for a role where they can build trust and remain for many years.

The principal has an established team and a fast-moving schedule that can change with very little notice. The Personal Assistant will work closely with the Chief of Staff and other team members to manage personal needs, logistics, travel, and the countless details that arise throughout the day. Some days will be focused on coordination and planning; others may require jumping in personally to handle an errand, solve a last-minute problem, or make sure the principal and those around them have exactly what they need.

This role also involves significant travel. The principal’s work may require extended periods away from Austin, including domestic and international travel for productions and other professional commitments. The ideal candidate is direct, grounded, highly adaptable, and comfortable working within an established team. They do not need a title or a next step to find fulfillment in their work; they genuinely enjoy being an exceptional assistant and understand the value of becoming a trusted, long-term presence in someone’s life.

Personality traits for the ideal candidate would be a direct communicator, takes constructive feedback well, non-emotional, drama-free.

Responsibilities

Executive and Personal Support

Provide comprehensive day-to-day personal and executive support to the principal
Manage a constantly changing schedule, appointments, commitments, and personal priorities
Anticipate needs and ensure the principal is prepared for upcoming commitments, travel, and changing schedules
Handle personal requests, errands, purchases, reservations, deliveries, and other day-to-day needs
Research options and quickly find solutions to unexpected requests or problems
Maintain organized records, contacts, itineraries, and other important information
Follow through on requests from beginning to end without requiring unnecessary oversight
Remain flexible and willing to handle hands-on tasks when needed, regardless of how large or small the request may be
Travel and Logistics

Coordinate complex domestic and international travel, including flights, accommodations, ground transportation, itineraries, and related logistics
Travel extensively with the principal based on professional and personal commitments
Be prepared for extended periods away from Austin, including productions that may require several months of travel
Manage last-minute itinerary changes calmly and efficiently
Coordinate packing, arrivals, departures, transportation, reservations, and other travel-related needs
Help maintain continuity of the principal’s personal life and routines while traveling
Remain responsive as schedules and locations change, sometimes with limited notice
Team and Principal Coordination

Work closely and collaboratively with the Chief of Staff and other members of an established support team
Maintain clear communication so priorities, schedules, and changing needs are understood across the team
Support the principal and their immediate professional circle as needed, understanding when requests or logistics affect both
Coordinate appropriately with representatives, production teams, business contacts, vendors, and other outside parties
Understand established roles and responsibilities within the team and communicate effectively without creating unnecessary overlap
Step in to support other team members when circumstances require additional help
Contribute to a calm, efficient working environment even during particularly busy periods
Organization and Problem Solving

Stay several steps ahead of changing schedules, travel, and personal needs
Manage multiple requests simultaneously and quickly determine what requires immediate attention
Solve problems independently and bring matters to the principal or Chief of Staff when appropriate
Adapt quickly to last-minute changes without becoming flustered or losing attention to detail
Maintain excellent follow-through and ensure open items are fully resolved
Protect the principal’s time and privacy while exercising sound judgment in all interactions
Maintain the highest standards of discretion and confidentiality at all times
Qualifications

Significant experience supporting a high-profile principal, executive, public figure, or similarly demanding private client
Established career as an Executive Assistant, Executive Personal Assistant, or Personal Assistant with a demonstrated commitment to the profession
Strong employment longevity and a genuine interest in remaining in a long-term assistant role
Extensive experience coordinating complex domestic and international travel
Comfortable traveling frequently and for extended periods of time
Exceptional organizational, scheduling, and logistical skills
Highly resourceful with excellent problem-solving abilities
Direct, grounded, and able to communicate clearly and efficiently
Emotionally intelligent and comfortable working with different personalities within an established team
Calm under pressure and able to adapt immediately when plans change
Willing to be hands-on and handle everyday personal requests and errands when needed
Strong professional boundaries with exceptional discretion and judgment
Tech-savvy and comfortable using modern communication, calendar, travel, and productivity platforms
Valid driver’s license and current passport
Authorization to work in the United States
Excellent professional references
Location: Austin, Texas. This is an in-person position based in Austin when the principal is home. Extensive domestic and international travel is required, and candidates must be comfortable spending extended periods away from Austin based on the principal’s professional schedule. Relocation assistance will be provided for the right candidate

Schedule: Full-time with significant flexibility required. The schedule will be driven by the principal’s professional commitments, travel, and personal needs rather than traditional office hours. Candidates must be comfortable with last-minute changes, extended travel, and providing support outside of standard business hours when needed

Compensation and Benefits: $150,000–$200,000 (DOE). The family is prepared to be competitive for an exceptional career assistant whose experience, longevity, and background align closely with the position. Relocation assistance will be provided. Additional benefits will be discussed with qualified candidates
